Meeting Minutes


Present: Pat Stanley, Katie Delaney, Diana Fliss, Tony Ourada, Rebecca Weber, Doug Jingles, Jody Olson, Danielle Frazier, Bonnie Longtin, Jan Boulton, Gene Bies, Loren Hacker, Ron Fjerkenstad, Karen Houtman and Charlene Wallert. 


Minutes of Last Meeting: Approved.


Financial Report: Per Diana. There is a need for timely bill submission as well as for a check request. Diana will put together a guideline/proposal for the budget and present at January meeting. Financial report was approved.


Updates on Marketing Committee:

Canby Bucks –Doug presented quotes from the Print Shop: It would be $155 for 500 - $10 bucks and 500 - $20 printed in black and white. It would $234 for a 1000 - $10 bucks and 1000 $20 bucks. The Marketing committee will design and get stationary envelopes to be used for both bucks and Chamber correspondence. Doug will then check on envelope prices and order new bucks which should be done by January 1st. The Marketing committee will provide information to the businesses on how to redeem the bucks. Danielle requested sending this info as a postcard size reminder. 


Membership Plaque – Each business will get a new Chamber membership certificate printed on cardboard stock when they pay their dues. Diana will send a list to Katie of members paid. 


Upcoming events:

Arctic Blast - Will be held on January 29, 30 and 31, 2010. Tony said National Guard inquired about bringing in an obstacle course (marathon, Rock Climb, etc.) at no cost but a location is needed and some possibilities are the high school or Minnesota West. United Way also contacted Tony about a Pancake Breakfast with Gruffalo at no cost and a location is needed.        The Connection is hosting a French Toast Breakfast on Sunday, perhaps the Gruffalo event could be held there. Per Bonnie Longtin some of the activities include the Chili cook-off at the VFW, Klondike Kate, Polar Plunge at Del Clarke, French Toast Feed at The Connection, Court Whist Tourney, and Medallion Hunt. The committee voted/ agreed to lower Finder’s Fee of the Medallion to $50. Diana questioned the budget for the events and Bonnie was going to email out to the Chamber Board an official list of activities for Arctic Blast as well as take care of the advertising. Ron Fjerkenstad will check to see if there are trophies for the cook off. 


Speaker for Website - Neil Lindchid from Clarkfield was unable to attend due to weather. Josh is changing a few settings on the site. 


New Meeting Location: It was discussed to change but since the Board has been reassembled, the group decided to keep the meeting time and location the same and re-evaulate it in 6 months.


Next Meeting: Wednesday, January 13th at noon at PK Egan’s.

Meeting Minutes

Minutes of Last Meeting:  Approved.


Financial Report:  The City received a thank you for their $1500.  Approved.


Updates on Marketing Committee:


Canby Bucks – use existing bucks for $10 and $20 increments.  Number old bucks and January 1 will be the start of the new bucks.  The new numbering will be 10000’s for $10 bucks and 20000’s for $20 bucks.  A suggestion for the new bucks would be to record in a database (Doug Gingles) the issue date, who issued the bucks, and the expiration date (1 year from issue).  On the bucks, there would be an area for the business note.  Once the buck is redeemed, it would then be recorded on the original spreadsheet.  A comment made was to send out an informational letter announcing the new bucks and how they will be distributed and redeemed at participating business that are chamber members.


Membership Plaque – Not discussed.


Dues Letter – Marketing committee presented several new and different Chamber logos which they will choose and then the letter will state the exact amount needed.


Upcoming events – Holiday Preview:


Call Santa:  The Canby Fire Department will man the Santa line on Friday, December 18th from 6:30 – 8 p.m. 



New Location for Santa House:  Will be housed at the Canby Bakery on Friday, December 27 from 6:30 – 8 p.m., Thursdays, December 3rd and December 10th from 6:30 – 7:30 p.m.   Need candy canes and juice.  Katie suggested asking Pastor Cooper at the Baptist Church to borrow his chair for Santa.


Movies:  Will be held on the Saturdays of December 5th and December 12th at 2p.m. at the Canby Theatre.  Minnesota West, The Sportsman's Club, Outland & the Shriner's are sponsoring the movie on the 5th and Santa’s movie is sponsored by the Jaycee's and the Shriner's.



Chamber Christmas Calendar:  Was passed around with the holiday preview/promo days and activities.  Tony Ourada offered to print 200 – 300 calendars in color at his State Farm office free of charge/donation.


Jaycees Roller Skating will be held on November 20th at the high school.


Holiday Lighting Contest:  $75, $50 and $25 prizes in Chamber Bucks.  Bonnie will get judges.


Sunday, November 22nd will be Holiday Open Houses for A New Leaf and Canby Drug.  


Open Forum:

Military Collection Boxes - Pat Stanley invited Vanessa Ruether to discuss the Veteran/Military Collection Boxes.  Ms. Ruether, wife of Derrick who is currently deployed, offered suggestions such as snack foods, jerky, and Crystal Light packs.  She also mentioned that Madison Bottling would donate the beverage if someone spent the postage.  Other items that would work include blank DVD’s/CD’s, VISA debit cards,



Hospital Auxiliary Report:  Eldean Baer gave an update on the Donation and Class of 1964 reunion.


Website Update:  Danielle Frazier asked the status and it is still undecided and will be tabled.  She indicated there is a site, Homestead.com that would assist will different packages for Domains, etc.  Josh owns domain because he is the webmaster.  Another discussion was had about using Facebook for future networking.  Neil Lynchheid is a trainer from the MN Extension Service.

October 14, 2009 Meeting Minutes


Pat Stanley called the meeting to order at Noon at P.K. Egans. Joyce Baer acted as temporary secretary in place of Katie Delaney and Rebecca Weber.


The minutes from the September 9th meeting were approved by all present.


In the absence of Diana Fliss, Pat reported that the Chamber has a balance of $279.30 on the books. Danielle Frazeur reported that the check #8188 dated 5/1/08 for the amount of $258.80 is paid. Diana is numbering the existing Canby bucks. A motion to accept the report was made, all present approved.


Discussion on Dues Letters...Ron Fjerkenstad mentioned that he needs something in written form for filing purposes. In the absence of Doug Gingles and Tony Ourada, Cheryl Ferguson said she would contact Tony and get this in motion.


There was no report from the Activities Committee. We have added one new member to the Chamber...Mary Homan. She is the CWP Project Coordinator from Madison. She has been added to the member list.


An agreement was made that membership certificates would be given to all members so they could be displayed in a prominent location to let the public know that they are Chamber participates and will accept Canby Bucks’ Cheryl Ferguson said that Marketing will be in charge of taking care of this.


The VFW Steak Fry is Saturday evening October 17th. The two shifts are 5 – 7 pm with Denise Hanson, Jody Olson, Bonnie & Chuck Moberg; the 7 – 9 shift Jerry & Jan Boulton, Bonnie Longtin, Pat Stanley, Diana Fliss with Denise Hanson staying and helping.


Bonnie Moberg at the Canby Co-op will be in charge of the shredding of the old Chamber files.


Eldeen Baer will chair the Hospital Bazaar booth for the Chamber with help from Jody Olson.


In January during the Arctic Blast Festivities Bill Wernisch suggested having Kim Wolff at the VFW on the 29th for the Chili Cook-Off and the 30th for the Klondike Kate Contest. The Chamber would receive 20% of the bar.


Josh Sumption from Prairie Hub is scheduled to do the Chamber web site until 2014. The Chamber feels that it needs better service and that the Web site should be under a separate committee. Danielle Frazeur has agreed to do this starting in November she will contact Josh.


Sharon Baer made a motion to adjourn, all in favor.

Sept 9th, 2009

 

Pat Stanley called the meeting to order at 12:05pm at PK Egans. Previous meeting minutes were distributed for review. Minutes were read and approved by consensus. 


In Diana’s absence, Pat gave a brief overview of the Financial Report. Diana spent time going through old statements, but still needs to do more research on previous statements. She was not able to find a 2009 Budget, nor a record of any money received from the City as in years past. It is Pat’s belief that organizations were to submit an invoice to the City to be paid. He asked Diana to send that invoice to the City on behalf of the Chamber. Diana will be an approved signatory, as well as, Rebecca Weber. Pat also mentioned there is a Chamber savings account at the Credit Union currently in Don Beman’s name that needs to be changed.

Chamber Committees have been set up with the following parameters (additional guidelines can be added):

       Committees must have a minimum of 4 active members Committees are to meet prior to each monthly meeting and report any updates to the Chamber Board.


The Committees are as follows:

       Activities - responsible for organizing and finding volunteers for all Chamber events.

Bonnie Longtin (Chair) Danielle/Reed Frazeur Doug Gingles Michael/Joyce Baer Rodney Hanson possibly a few others from the Hospital

       Membership & Marketing – responsible for membership, dues, fundraising, & promotions.

*This committee is to be established in the future. 


Joyce Baer will act as the main contact person for the Canby Chamber for the time being. Any agenda items should be sent to her. Any checks or bills are to be sent to Diana Fliss. 


The current dues structure was discussed. After much discussion, the following motions were made:

The fiscal year for the Canby Chamber is to follow the calendar year, January to January. Motion carried.


Membership dues are to follow the Canby Chamber’s fiscal year. Therefore, dues letters will now be sent out January 1. The Membership & Marketing Committee is charged with reviewing and adjusting (if necessary) the current dues structure and working out the appropriate details. Motion carried.


Danielle Frazeur is organizing a fundraising effort for Saturday, Sept, 12 at the Canby Depot. Anyone willing to volunteer to work should contact Danielle.


Pat also confirmed that the VFW Steak Fry on October 17th will be to support the Canby Chamber. The Activities Committee is to line up volunteers and establish a work schedule. Those willing to work should contact Bonnie Longtin.


As the Chamber no longer has an office at the Canby News Office, there are a few items that need attention. A motion was made to allow Joyce to answer the phone on the Chamber’s behalf until office plans have been solidified. Motion carried. Pat routed the Chamber phone number to ring to Joyce Baer’s home.


A motion was made to allow Diana Fliss to collect the mail from the Chamber’s PO Box, as she is the treasurer. Motion carried.


There are various boxes of event supplies found at the Canby News Office. Motion was made to contact and deliver any event supplies to the business hosting the event, if they are willing to do so. Motion carried. For example, supplies from the Chili Cook-off will now be stored at the VFW; Holiday supplies will go to The Connection. If a business is not able to store the supplies, they will be disposed of.


There is also a large amount of cancelled checks, outdated raffle tickets, old check registers, and the like. A motion was made that all outdated and irrelevant documents will be shredded and destroyed. Motion carried.


Many surplus Christmas Ornaments have been found in storage. A motion made to distribute those ornaments to the appropriate location on each, if they are willing to take them. Motion carried.


Pat also found bundles of Canby Bucks that were previously printed without any expiration date or number order. There was much discussion on whether we could still use them, and if so, where will they be located and how will we record sales. A motion was made to delegate these decisions to the Membership & Marketing Committee. They are to establish/revamp our current Canby Bucks program, destroy old bucks (if not used), establish a separate checking account for the Canby Bucks fund, and publicize an expiration date of December 31, 2009 on those currently in circulation. All Canby Bucks will now expire one year from date of purchase. Motion carried.


Other discussion topics included ‘Welcome Wagon’ bags for new college students and/or new people moving into the community. Rebecca explained the current structure of Minnesota West’s Student Discount Cards and that the college was very open to any new ideas. A motion was made that the Membership & Marketing Committee work with Minnesota West to establish a closer connection between the Canby Chamber/Business Community and their students. Motion approved.


There was also discussion concerning the Canby Chamber website, specifically the expiration date of our domain name. JoAnn Hansen volunteered to do some research regarding this before the next meeting.

Pat Stanley called the meeting to order at approximately 5:45pm at P.K. Egans. Joyce Baer acted as temporary secretary in place of Katie Delaney and Rebecca Weber.


The first order of business was to elect a Chairperson. Pat Stanley graciously stepped forward to take on that position for the first year of this reorganization. All present approved. Danielle Frazeur nominated Tony Ourada for the Vice-Chairperson position. No other nominations were made, and Tony agreed to serve as Vice-chair with the knowledge that after this year, Pat will step down and Tony will take over as Chairperson. All present approved.


Diana Fliss has stepped into the treasurers position. Rebecca Weber and Katie Delaney are co-secretaries. The other Board Members include: Denise Hanson, Danielle Frazeur, Doug Gingles, Jody Olson, and JoAnn Hansen.


The key mission of our Chamber is to “promote Canby.”


We discussed the various committees that are needed to help the Chamber run more efficiently. The Chamber will not and can not do ALL the work, therefore committees for Marketing, Activities, Membership etc. must be established. That will be discussed further at the next meeting. The Activities that Canby supports are Arctic Blast (January); Hat Daze (June); Crazy Daze (August); Holiday Preview (November). Perhaps there is one activity that you like more than another and would be willing to be a part of the planning and work detail...So far we have the parade committee set up. The committee chairs would be responsible for reporting to the Chamber to keep the Board member informed on what they are doing.


We have an assortment of memorabilia on hand. Seven (7) cases of Christmas ornaments with different scenes of Canby locations. The Chamber is out of funds to pay the bills that are out-standing, so we need to come up with fund-raising ideas. Selling these items for $5 a piece was discussed. Other ideas were tail-gating? Burger feed? Working at the VFW steak fry? Doing a membership push now to get more people involved and dues getting paid.


New time and location will be on the 2nd Wednesday @ noon. For the first quarter we will meet at PK Egan’s. Tony Ourada volunteered to check into other locations for the other quarters of the year. Email’s will be set out to members with addresses, or phone calls to those w/o email in plenty of time to announce the up-coming meeting.


Jody Olson mentioned that a note of thanks should be sent to Karen Houtman and Ellie Beman for their work as Chamber co-chairs the past two years, and also a thank you to the Canby News for all the advertising it provided to the Chamber functions and projects. This was unanimously agreed to.
