Canby Chamber of Commerce Board Meeting March 22nd – DeToy's
1) Attendees: The Canby Chamber of Commerce Board met at 6:00 pm on March 22th at DeToys. The following board members present: Pat Stanley, Laurie Driessen, Don Beman, Sabrina Stockman, Amy Newcomb, Derrick Ruether, Ron Fjerkenstad, and Kelli Palmquist. Also present was Ellie Beman. 2) Policies Reviewed – Derrick reviewed proposed policies for the Chamber (e.g. mission statement). The group discussed and amended all policies discussed. The policy details will be published along with these minutes. 3) Bylaws Reviewed – Some existing and new bylaws were also reviewed. The other existing bylaws were not reviewed due to not having access to them prior to this meeting. These will be reviewed at the next semi-annual board meeting in 2006. The bylaws discussed at this meeting were revised and motions were made to publish these at the Annual meeting on 3/31/06. Chamber Board and regular members will vote on them at that time. 4) 2006 Budget Review/2005 Recap – Don reviewed these reports with us. After discussion arose regarding continued participation in “Night Out Against Crime” & “MN West Student Welcome”. Based on the restructuring of the Chamber mission, the Board determined to cease participation in these events. Laurie made a motion to stop participation in these events; Amy seconded this motion. The Board approved this motion. There was poor participation in the Night Out Against Crime. The Student Welcome event targets local businesses for donations so the board felt this was “double dipping” for donations for the Chamber dues paying members. There is a planned deficit of $1900 for 2006.
5) Committee Discussion – The following committees were reviewed and determined to either continue to be in place or will be created as a new committee. Promotional Committee (formally known as Advertising committee) – lead by Kelli Palmquist. Activities committee – specific members will be in charge of a specific event – e.g. Ellie Beman is in charge of Artic Blast. Derrick is in charge of keeping the Chamber Web site up to date with new Board members, etc. 6) Removal of Inactive Board Members- There was discussion around how to contact these members to determine interest in continuing as a part of the Board. Derrick is going to contact these members going forward to determine if removal is necessary. 7) Installation of New Board Members – Conducted at each Annual meeting. 8) Meeting Structure– See Bylaw detail.
9) Citizen of the Year/Community Recognition Night – Scheduled for 3/31/06 at DeToy’s. Laurie made a motion that the Chamber pay for the Chamber’s award recipient’s dinner and their guest. Kelli seconded this motion. The Board approved this motion. Laurie is ordering plaques for these recipients and Ellie will be putting their photo in the paper.
