Canby Chamber of Commerce Board Meeting June 14th – PK Egans
1) Attendees: The Canby Chamber of Commerce met at 12:00 pm on June 14th at PK Egans with the following board members present: Derrick Ruether, Don Beman, Amy Newcomb, and Sabrina Stockman. Also present were Ellie Beman, Katie Delaney, Karen Houtman, Barb Hoyhtya, Bonnie Longtin, and Eldeen Baer. 2) Reports: Derrick called the meeting to order. The Secretary’s report was passed around to all attendees. Don presented the Treasurer’s report. Attendees approved both the Secretary and Treasurer reports. Old Business 3) Hat Daze Activities Report: a. Parade help-Last meeting was Thursday, June 1st. There are 75 entries for the parade. There could possibly be 100 entries by the day of the parade. There is enough help to assist in lining up the parade entries and announcing the parade. b. Receipts for vendors in the park-receipts will be provided for vendors. There is a $10 fee for the vendors. Chamber decided there would be no charge for booths that are not selling items. Also, discussed the location of the craft show next year. It was mentioned that the craft show has trouble getting a crowd. They prefer to be in an indoor area. Possibilities are the Presbyterian Church or the Connection. c. Helping at the booth on Saturday-need ambassadors in the park and help with selling raffle tickets. Ellie had three volunteers. Derrick and Sabrina also volunteered to help with the booth. d. Raffle ticket sales-raffle will be held 8:00 p.m. on Saturday at the park. There were 1500 tickets printed and quite a few have been sold. There will be tickets available on Saturday at the park. Chamber discussed format for drawing. It was decided that three names would be pulled for the two guns and the grill. The first name drawn has their choice of one of those three prizes, and the second and third will then have their choice. After that, names will be drawn for the remaining prizes. They will be using the sound system that is in the park. e. Clean up-Connection will do the clean up after the parade. Chamber approved giving half of the vendor money to the Connection for the clean up.
New Business
4) New members from the vo-tech-Becky Weber at Minnesota West is interested in becoming a Chamber member or possibly becoming a board member.
5) Speakers for upcoming meetings-still looking for speakers. Discussion about what kind of speakers the Chamber would like to have present at their meetings.
6) Highway 75 report– Eldeen Baer reported that a new brochure was being designed for the Highway 75 King of Trails. These new brochures will be in Canby in August.
7) Canby maps- stores were having trouble keeping the Canby maps on their counters. They were taking up space and were blowing around. Don went out and purchased six holders for them at the cost of $2.00 a piece. He paid for these out of his own pocket. Motion was made and approved for Don to be reimbursed for the purchase of these holders.
8) Additional Signature for the signing of checks-there is a need to have an additional signature on the checking account in order for checks to be signed if the Secretary is not available to sign. It was discussed and agreed that Derrick would be added to the checking account as a signature. Don made a motion and it was seconded by Sabrina to add Derrick to the account. This was approved. A copy of the minutes is needed for this to happen. Amy and Sabrina will bring a copy of the minutes to First Security Bank and Derrick will go to the bank to sign.
9) Adjournment-motion was made and seconded to adjourn. Motion approved. Next meeting will be July 12th, 2006 at noon at PK Egan’s.
