Canby Chamber of Commerce Semi-Annual Board Meeting September 27th – Connection
1) Attendees: The Canby Chamber of Commerce Board met at 6:00 pm on September 27th at the Connection. The following board members present: Laurie Driessen, Don Beman, Amy Szumal, Derrick Ruether, Karen Houtman and Kelli Palmquist. Also present was Ellie Beman.
2) Coordinator Position – The assignment of this position has been put on hold until the Bylaw committee meets and proposes their recommendations to the Board at the next Board meeting – November 8th.
3) Original Bylaws Reviewed – The original Chamber bylaws were found and briefly reviewed. Laurie made a motion to create a “Bylaw” committee that will review in detail and make recommendations to the Board at the next Board meeting on November 8th. Kelli seconded the motion. 4) 2007 Budget Review/Budget & Advertising Committee– The group did not have the 2006 budget available to discuss in detail. However, a committee was developed (Budget/Advertising). There are enough funds available in the current Chamber checking account to add on additional activities/donations/advertising for 2007. This committee will plan the 2007 budget and have this preliminary budget ready for the next Board meeting in November to review. In addition, this group will evaluate future advertising venues for 2007 that the Chamber will participate.
5) Chamber Role/Vision – The group discussed what other activities/goals the Chamber will focus on in 2007 besides promoting Hat Daze, Artic Blast, etc. The board will review what other successful Chamber organizations are doing including the MN State Chamber. These findings will be further discussed in the Bylaws committee and at the next Board meeting on November 8th. Laurie made a motion to pay the dues to join the MCCE-MN Chamber organization. Amy seconded the motion. Laurie is also contacting the contact she has from the Montevideo Chamber to come speak at one of our future meetings.
6) Committee Discussion – The following committees were reviewed and determined to either continue to be in place or will be created as a new committee. Activities Committee - contact: Ellie Beman (Kelli, Karen also members); Budget/Advertising Committee – contact: Derrick/Don (Ellie & Laurie also members); Bylaws Committee – contact: Karen Houtman (Amy and Laurie also members). 7) Secretary Position Replacement- Kelli Palmquist has resigned effective 10/1/2006. Amy Szumal will be taking over as Secretary until the end of her term on the board which is Jan 2008. Laurie made a motion to accept Amy as the replacement Secretary. Kelli seconded the motion. 8) New Board Members – Kelli is contacting Toni Rustand to invite her to join the Board as a general board member. 9) Meeting Structure– The group discussed options to better accommodate quarterly speakers at our meetings. The speaker will be advertised ahead of time in the Canby News. The group is still deciding if it is better to have the speaker at the beginning of the meeting or allocate 15-20 min at the end of the meeting. The goal is to avoid running out of time for the speaker like has happened in the past. The group also discussed the issue with non-agenda items coming up at meetings. Topics that are not on the agenda will be deferred to the next regular Chamber meeting. New agenda items must be presented to the Board a week prior to the meeting to be on the agenda.
10) Annual Meeting & Citizen of the Year Night – This will continue to be sponsored by the Canby Chamber and held in March. This event will be renamed “Canby Chamber Community Appreciation Night”. The group agreed to change the annual Chamber meeting before the Chili Cook-off in January instead of having it this same night of the Recognition night.
11) Defibulator Fund – Kelli made a motion to donate $500 to the Canby Defibulator fund. Laurie seconded the motion. Ellie is contacting Kari to schedule a time to take a photo for this donation.

13) Next Regular Chamber Business Meeting: Weds, Oct 11th, 2006 at 12:00 pm at PK Egan’s.
