Canby Chamber of Commerce Meeting

March 21, 2007

Minnesota West Community & Technical College

 

1)    Attendees: The Canby Chamber of Commerce met at 12:00 pm on March 21st at Minnesota West Community & Technical College with the following board members present: Laurie Driessen, Karen Houtman, Amy Szumal, Sabrina Stockman, Don Beman, Ellie Beman, and Katie Delaney.  Also present were Bonnie Longtin, Pat Stanley, Barb Hoyhtya, and Todd Van Epps.

2)    Reports: Laurie called the meeting to order. The Secretary’s report was passed around to all attendees.  The report was approved (1st-Sabrina, 2nd-Amy).  The Treasurer’s report was passed around and reviewed by all attendees.   Dues letters have not gone out.  They are still completing surveys.  These need to be completed by the next meeting.  The Treasurer’s report was approved (1st-Amy, 2nd-Sabrina). 

Old Business

3)    Third Annual Community Recognition Banquet:  This will be held on March 30th at the VFW.  Becky Weber will take tickets for it.  Amy reviewed the meal and said that she needs a head count.  This was due to Doug Pearson on March 20th.  Chamber asked Amy to check with Doug to see if he can hold off on a head count until Friday, March 23rd and also how much does the price increase if we do not have 100 people?  There will be door prizes from businesses in town.  Committee is working on the Citizen of the Year.  To increase ticket sales, the tickets will be sold by Ellie, Laurie, Katie, Amy and Sabrina.

 

New Business

4)    City of Canby:  Barb Hoyhtya spoke on behalf of the City Council.  The City Council received a letter from Prairie Waters in Appleton for more funding for tourism in Canby.  There was a request for $500.  Barb asked if the Chamber would give $250 and then the City would give $250.  There was a motion to give $250 to Prairie Waters (1st-Pat, 2nd-Don).  Motion approved.

 

5)    Chamber Functionality:  There was discussion regarding breaking down some of the functions of the Chamber down into committees.  The Marketing committee will decide the functions of the committees after the Chamber decides on the committees.  There was discussion about recognizing the volunteers for events.  A pizza party was put on by the Chamber after Hat Daze to thank everyone for their work and to discuss what could be done differently the next year.  There was also a note that the Canby Fire Department is interested in sponsoring a fishing contest during Arctic Blast.  Below is a list of current committees and new committees.

b.    New Committees:

 

Chamber Website Committee-Chamber discussed redesigning the website.  The Chamber has been having issues with items being added to website in a timely manner.  The Chamber needs to contact Josh Sumption regarding the upkeep of website.  The Chamber pays Josh to host and keep up the website.  If he is no longer interested in the hosting and the upkeeping of the website, then the Chamber will be looking for a new person to handle the website.  Laurie is going contact Josh to see if we can redesign the website.  There was a discussion about having a Chamber Member of the Week on the website.  The Chamber did Chamber Member of the month, but it was not successful. 

 

Hat Daze Raffle Committee-This committee will be deciding on what the prizes are going to be for the Hat Daze Raffle.  The committee will be working on the license by attending the City Council meeting for approval and then sending it to the State for approval.  Sabrina and Pat volunteered for this committee.  They will be checking with Derrick Ruether to see if he is interested in joining this committee.

 

New Member Drive Committee-This committee will work on getting new members for the Chamber.  The committee will be in charge of planning ribbon cuttings for the new businesses in the town.  There was discussion about the committee doing the dues letters, but Don will be doing them.  Pat and Laurie will be working on this committee, but the entire Chamber should work on obtaining new members.

 

Ag Committee-In discussing this with people in the community, the common question has been what benefit would a farmer have from joining the Chamber?  This committee would be geared more towards the Ag businesses in the area such as, Cenex and Farmers Co-op.  This committee would also attempt to revive the Farm/Home Show.  Katie will be checking with the Diesel and Wind Departments at MN West to see if someone is interested in joining this committee.  Laurie and Pat will also develop a letter to the businesses geared towards agriculture and farmers. The committee will also check with DeLon Clarksean because he was a member of the largest FFA committee.

 

6)    Space at the Canby News:  The Chamber discussed sprucing up the space at the Canby news.  There was discussion about getting a file cabinet for brochures and a vinyl sign.  The committee will be checking with the Print Shop and Bott’s in Minneota for a sign.  The committee consists of Katie, Amy, and Sabrina.

 

7)    Marketing Committee:  The committee reviewed the Chamber Event letter that they will be sending out to members with the dues letters.  There was discussion about the Chamber Hospitality Night on April 12th at the VFW.  This will be from 5:00-6:30 and the Chamber will provide each member business with 2 free drink tickets.  This event is in conjunction with the VFW’s Indian Taco night.  After this event, it will be changing to another business.  The committee will select someone else to prepare the next function.  After a review of the tickets the Chamber agreed to change the wording to avoid the idea that the Chamber is paying for the Indian Tacos.  Also, the committee reviewed the Fix-it-Up Fund.  The committee presented a form that would be filled out by the businesses.  The form also included the guidelines.  These forms need to be in by May 1st and the improvements must be completed by September 30th.  The committee is still trying to find a new name for the fund.  The Leadership meetings are waiting for the budget committee to meet and discuss.  As of this meeting, the budget committee had not met.  Ellie updated the member surveys earlier in the meeting.

 

8)    Adjournment:  Motion to adjourn.  Approved.
