Canby Chamber of Commerce Meeting

October 17, 2007

Minnesota West Community & Technical College

1)    Attendees: The Canby Chamber of Commerce met at 12:00 pm on October 17th at Minnesota West Community & Technical College with the following board members present:  Karen Houtman, Amy Szumal, Sabrina Stockman, Katie Maranell, Ellie Beman, Don Beman, and Bonnie Longtin.  Also present was Kari Harding.

2)    Reports: Karen called the meeting to order. Karen proposed the Agenda be adopted with a few items added to the agenda.  The Agenda was approved (1st-Katie, 2nd-Bonnie).  The Secretary’s report was passed around to all attendees.  Amy made an error on September’s minutes.  There were some motions omitted under the Office Committee.  Amy will correct the minutes and send them to Josh.  She asked the Chamber to approve the minutes with an amendment.  Motion by Sabrina, 2nd by Katie to approve the minutes.  Motion approved.  Don presented the August and September’s Treasurer’s report.  There was a motion to approve the reports subject to audit (1st-Katie, 2nd-Sabrina).  Motion approved.

Old Business

3)    Arctic Blast:  Ellie reported that there would be an Activities Committee meeting on October 17th.  Any information from the meeting will be sent to Amy and Amy will distribute to everyone.  Holiday Preview will be discussed.  Don discussed the movie for this year’s Holiday Preview.  The Chamber pays for a movie every year and the Jaycee’s pay for a movie.  He said that the cost of the movie is approximately $300.  There was a motion by Katie, 2nd by Sabrina for the Chamber to purchase a movie for Holiday Preview.   Ellie noted that someone volunteered to be Santa and there may be two Santas this year.

4)    Marketing Committee:  Katie reported on the advertising proposal.  $1500 will be spent to advertise businesses in Canby.  The Committee presented a list of businesses that could be advertised and the dates that they would be advertised.  The list presented was not the current list of members.  Laurie Driessen has the current list of members.  The list is updated as the dues are paid.  The drawing for businesses will be four businesses with two alternates so if a business has not paid their dues or does want to advertise an alternate can take their place.   The advertisements would be in the papers and on the radio.  A schedule of when the radio advertisements would take place was also presented.  The cost for the radio advertisements would be approximately 2 ads for $5.00.  Ellie also presented an ad that could be put in the papers.  The ad could include notice of sales or coupons.  It costs approximately $220 per time to be in the Marshall Independent plus the Shopper.  There was a motion to approve the plan.  (1st-Ellie, 2nd-Sabrina).  Motion approved.  The Chamber then drew the four businesses that would be advertised first and the two alternates.  The four businesses drawn were:  Canby Theater, Runnings, Pizza Place, and A New Leaf.  The two alternates are Jim’s Market and Briar Rose Fabrics.  The businesses drawn will not be eligible for the next drawing.      

5)    Website Committee:  Amy reported that Laurie and she met with Josh in August.  Josh is unable to put the time into giving the website a new look.  He is talking with other businesses in Canby who may be hiring a website designer.  Amy mentioned that Kelley Nemitz is working on marketing and some website design.  Josh was going to discuss this with her.  Josh asked if some photos from Hat Daze could be sent to him.  There was discussion about adding a Business of the Month to the website. This has already been added to the website.  Also, adding an events calendar to the website and include on the calendar any forms that are needed for the events, such as the Hat Daze parade registration form.  Other suggestions for the website included adding the First Dollars of Profit, Your Chamber at Work (this has already been added), the mission statement, and putting the board members on the front page.  Amy has not heard from Josh since the meeting.  Karen is going to check with Laurie to see if she has heard from Josh.  Amy also noted that Pat dropped off the disc that was used to update the website when Diana Fliss was the Secretary.  Kari Harding suggested that a student could do some of the week to week work on the website. 

6)    Hat Daze raffle information:  Don reported that this information has been sent in to the state.  The Chamber does not need a permit for the quilt raffle.  A permit is needed for $1500 in prizes.  The next raffle permit that is needed is for Hat Daze.  Don noted that the Chamber already has tickets for the quilt raffle.

7)    First Dollars of Profit & Fix-Up Fund:  Don reported that Corrine Pesek sent in the photos for PK Egan’s for Fix-Up Fund.  They are before and after photos and will run in the Canby News soon.  Katie reported that Amy Wagner at American Financial Partners does not want to have a photo for the First Dollar of Profit.  Amy’s still needs to be completed and also A New Leaf.  Don will contact these businesses and schedule the photos.

8)    Boy Scout Project:  Laurie Driessen was not at the meeting to discuss this project so it is tabled until next month’s meeting.

9)    Office Committee:  Amy has not found a brochure holder.  Don has the Office Depot catalog and other office catalogs for Amy to review.  She sent an email to Bonnie to get a quote for the table cover and will also check with The Print Shop.  Bonnie discussed some of the ideas that she had for the cover and will drop off an estimate with Amy.  Ellie said that there are cupboards at the Canby News that are empty and can be used.  Work will continue on this project.

10) Energy Fair:  Katie discussed this with the faculty at Minnesota West.  Minnesota West thought it was a great idea and is going to move forward with it.  The focus of the fair would be towards parents, education, and jobs.  There would be break out sessions on ethanol and wind energy.  Minnesota West is working on possibly having Don Shelby from WCCO as a speaker at the fair.  They are looking at September of 2008 as a possible date and are also working on funds.  The instructors are able to get a $5000 excellence award to help the fair.  The instructors would need to choose the fair as their project for the award.  There was a suggestion to get the whole community involved and make a Canby goes green project.    

New Business

11) Holiday Calendar:  This will be prepared by Joyce Olson-Baer again.

 

12) Blue & Gold Fundraiser:  Kari Harding was there to present some information to the Chamber about a fundraiser that the Blue & Gold Foundation is working on.  They are trying to reach the community.  Their main objective is still scholarships for students, but they would like to reach the community also.  Kari chairs the Blue & Gold Foundation.  Blue & Gold is preparing a raffle for the teachers at Canby High School, Canby Elementary, and St. Peter’s.  The raffle is a $300 shopping spree for a teacher from each school.  The prize would be in Canby Bucks.  A family can purchase a raffle ticket for their teacher and then the tickets will be divided into three raffles and one teacher from each school would be drawn to go on a shopping spree.  The cost of a ticket would be $3.00.  Kari asked if the Chamber would be willing to donate $900 in Canby Bucks to the Blue & Gold for the raffle.  The Chamber would be recognized for their donation.  After some discussion, there was a motion to approve the donation (1st-Katie, 2nd-Ellie).  Motion approved. 

 

13) Adjournment:  Meeting was adjourned.  There was no motion for adjournment.
