Canby Chamber of Commerce Meeting

December 12, 2007

Minnesota West Community & Technical College

1)    Attendees: The Canby Chamber of Commerce met at 12:00 pm on December 12th at Minnesota West Community & Technical College with the following board members present:  Karen Houtman, Amy Szumal, Sabrina Stockman, Katie Maranell, Ellie Beman, Don Beman, and Becky Weber. 

2)    Reports: Karen called the meeting to order.  The Secretary’s report was passed around to all attendees.  The Secretary’s report was approved by consensus.  Don presented the Treasurer’s report. The City will make their annual contribution next week. There was a motion to approve the reports subject to audit (1st-Amy, 2nd-Sabrina).  Motion approved.

Old Business

3)    Marketing Committee:  The committee found that some of the names drawn for the advertising were not members or had not paid their dues so names had to be drawn again.  The Chamber needs to communicate to the businesses that we are here.  Ellie called the businesses that won the drawing.  Only two businesses turned in their information and two did not.  The committee needs to tell the businesses drawn that they need to get their information in by a certain date.  If they do not, then the committee will draw a new name.  The committee will review their process and prepare some information for the next meeting.

4)    Activities Committee:  The photos with Santa have been very successful.  The Chamber is paying The Connection $1 per photo.  This covers the beverages and photos.  Louise Lehmann made cookies for Santa.  The Chamber agreed to give her a token of appreciation.  There was a motion by Becky, 2nd by Katie to give Louise $5 in Canby Bucks.  Motion approved.  There needs to be a meeting on Arctic Blast.  The Chili Cook-off will be the same as last year.  Ellie needs help getting the cook-off organized for Friday night.  The Klondike Kate Contest will be at the school on Saturday during Arctic Blast.  Ron Fjerkenstad and Pat Stanley will be doing the Polar Plunge.  The Connection will have food and beverages at the plunge.  There will be a quilt show at the school.  There will be a french toast breakfast at Our Saviors Lutheran Church.  Court Whist may be held.  Barb Hoyhtya may prepare the medallion clues again.  If she is not available, there was a suggestion that Deb Peterson at Minnesota West may be willing to prepare the clues.  

5)    Energy Fair:  This will be held on Thursday, September 11, 2008.  MN West is working with the Soil and Water Conservation and they will have topics for the fair.  In April of 2008, there will be forums leading up to the fair.  Also, there will be a panel of speakers.  This will need to be a pre-register event for MN West.  MN West is hoping to have booths and asked if the Chamber could have a booth.  The Chamber asked what could be done to support the fair and there was a suggestion to support it with ads.  There was also discussion about Canby going green.  This could be something where the merchants have a sale on things that are green, such as light bulbs.  Buying local is a huge part of energy conservation because it doesn’t burn up gas to go somewhere.

 

New Business

6)    Bills to the Chamber:  There are some bills that need to be paid by the Chamber.  There is a bill from Lancer Lanes for the Holiday Preview bowling.  Minnesota West and Pete Schmitt sponsored the event so the bill was given to them.  There were only six children that attended the bowling.  There is a bill from KLQP for $75 for the first round of ads.  Also, Sabrina presented a bill from the Lions Club for the signs that are at the edge of town.  The signs have been refinished.  The total cost for the project was $1611.11 and this is being divided seven ways so the Chamber owes $230.15.  This was previously approved when Derrick Ruether was the president of the Chamber.  Amy will send a copy of the bill to Don and keep a copy in her file.

 

7)    Annual Meeting:  The annual meeting cannot be held prior to the Chili Cook-off.  There was discussion about a good time to hold the meeting.  The Chamber decided on January 16, 2008, 12:00 p.m. at Minnesota West to have the meeting.  A letter needs to be prepared and sent out to the members announcing the meeting.  There was a motion by Katie, 2nd by Sabrina to send out a letter to the members announcing the meeting.  There was discussion about who would write the letter and when the annual meeting needs to be announced.  The bylaws were reviewed, but also the Chamber needs to follow the state laws.  Becky volunteered to write the letter and will send it out to the board for approval.  The previous motion was withdrawn and a new motion was proposed to have the meeting on January 16, 2008, 12:00 p.m. at Minnesota West and a letter will be sent out to the members announcing the meeting (1st-Don, 2nd-Sabrina).  Motion approved.

 

8)    Adjournment:  Motion by Amy, 2nd by Sabrina to adjourn the meeting.  Motion approved.

 

9)    Next Meeting:  Annual meeting-January 16, 2008, 12:00 p.m. at Minnesota West.
